Accruals

Accruals is located under Management→Users→Accruals (see figure 12.1).
The Accruals section allows you to maintain leave request balances for your users. Users who have been assigned accruals may view their balances via an Accruals link in the gray status bar above the Time Entry grid. Hovering over or clicking on this link will display all current accrual balances (except for hidden balances) for different Pay Types.

To create or manage accruals for a user, you must first enter the search criteria for the user. When finished, click the Search button. The search results will be displayed, and you can select a user from the results. Click on the user's name to create or edit accruals. The Accruals Management section will be displayed underneath the search results. If the user already has accruals assigned to him/her, you will be able to see the remaining balances for each assigned accrual.

Please note that you must select an accrual in order to save changes to it. You can only modify one accrual at a time. If you do not select the accrual's radio button and click the Save button, it won't save your changes.

Accruals are associated with the Pay Type column on Time Entry screens. As users track time against Pay Types with existing accrual balances, the balances are debited by the hours entered by the user for that Pay Type.

To create a new accrual for a selected user, go to the "Create new accrual" section and enter the following information:

Accrual Name - You can enter any text in this field to describe the type of accrual balance you are creating. The user, as well as managers reporting on accruals and leave time, will see this name when viewing accrual information. You cannot use the same accrual name twice for a single user, but you can reuse accrual names from one user to another.

Accrual Pay Types - Select the Pay Types that the accrual balance will apply to. More than one Pay Type can be associated with each Accrual. However, each Pay Type may only be associated with one accrual per user.

Hard Limit - This field is optional and should be enabled when you want to block users from entering too much time against the Pay Type(s) that is associated with the accrual. The hard limit enforces a minimum balance that can be a positive or negative number. It can also be zero. For example, a user cannot enter time against the accrual Pay Type that takes the balance below zero when the hard limit is set to zero.

Warning Threshold - This field is optional and should be enabled when you want to warn users when they reach or exceed a minimum balance for the Pay Type(s) that is associated with the accrual. The warning threshold minimum balance can be a positive or negative number. It can also be zero. Warnings do not block users from entering more time against the accrual Pay Type(s). Warnings can be used in conjunction with hard limits (e.g., warn with 2 hours remaining, block with 0 hours remaining), or warnings can be used on their own.

Hidden - This field is optional and should be enabled when you want to track an accrual balance against a Pay Type(s), but you do not want the assigned users to see these accrual balances in the accrual information on their time entry screens. NOTE: "Hidden" balances may still be displayed to users in some circumstances. For example, the user will see the remaining amount in the hidden balance when creating a Leave Request that violates a hidden balance.

Hours Remaining - This field is required and should be set to the amount of the beginning/current balance of the accrual. This field can also be modified when users earn or lose accrued hours. The hours remaining can be a positive or negative number. It can also be zero. NOTE: If you are using the Accrual Calculator feature, this field may be updated automatically based on the rules and tiers you set up for accrual calculations and adjustments.

When finished, click the Create button.

To completely delete an accrual that has been assigned to a user, select the accrual and click the Delete button.
